Hello Club and Student Unions Executives,

A previous email was sent out last week regarding Club and Student Union (SU) fundraiser updates. It has come to our attention that there are many misunderstandings around the message.

We acknowledge that Clubs and Student Union groups host many fundraising initiatives, both on and off campus. When it comes to spaces on the SFU campuses operated by MECS, we will continue to work with our SFU partners to continuously evolve our policies and processes. 

Moving forward, the procedure for fundraising is as follows:

  1. Request a space booking through the portal at go.sfss.ca, this can be in conjunction with a grant (note: grants for fundraisers are only provided for equipment, AV, administrative purpose and venue and are still subject to Coordinator approval). Fundraising activities can be done on SFSS owned spaces or the SFSS Club tables, which are located in the AQ. *Please note the space booking process may differ for Surrey Campus
    1. Please ensure that the space request is complete with any additional services required, such as A/V and or Facilities;
    2. For areas outside of SFSS spaces and tables, please reach out to the SFSS Student Centre (or SFSS Surrey Office for Surrey events) so we can confirm with MECS on an appropriate space. MECS will review the request, which includes the location and the product you will be selling.
  2. Once you receive approval for the fundraiser event, if your fundraiser includes food/beverages, please obtain a Fraser Health food permit.
  3. Upon receiving approval from the Fraser Health Authority and the SFSS, you will be able to move forward with the fundraiser event


A few things to consider:

  • Fundraising that involves the serving of food and/or beverages must not be done within the vicinity of a current food vendor on campus. 
    • For example, please refrain from setting up a table by the Jugo Juice space
  • Food permits must be obtained by the groups, regardless of campus (please be aware of processing timelines/deadlines when making the requests).
  • It is recommended to have a list of ingredients readily available at your fundraiser in case patrons have questions or concerns regarding ingredients and/or food sensitivities.
