Any SFSS Member in good standing* of the Society can vote at the AGM. The member can vote by electronic or telephonic means but has to be present at the meeting at the time the vote is put. No vote by proxy is allowed.

So, any undergraduate student (you!) can attend who is enrolled in classes and have paid their fees. As a member of the SFSS, you hold the ultimate power in the Society via Members’ Meetings, which is why it’s crucial you attend and vote!

*Members cease to be in good standing if they fail to pay all fees, fines and penalties levied in accordance with the Society’s By-Laws and Regulations.

  1. RSVP for the AGM via Eventbrite HERE
  2. Click the Zoom link to the AGM you received from SFSS in your SFU email
  3. Click ‘Sign in via SSO’ on the top right
  4. Type ‘sfu’ into the Domain blank
  5. Log in with your SFU log-in credential
  1. Hover your cursor over ‘Closed Captions [CC]’, located at the bottom of the screen, beside the ‘Raise Hand’ function
  2. Click ‘Show Subtitle’

Using Zoom on a computer, laptop, tablet, or smartphone app

  1. The question will be called by the AGM chairperson
  2. There will be a poll that comes up on your screen when it’s time to vote
  3. Choose in favour or against and submit your vote
  4. If you wish to abstain from voting, then you close the poll when it comes up on screen.

Using a landline phone

  1. The question will be called by the AGM chairperson
  2. Landline phone voting member will be unmuted by the moderator and asked to
  3. cast their vote with a Yes, No, or Abstain (choosing to not vote)

3. APPOINTMENT OF THE CHAIR

The Members will nominate and appoint a Chairperson for the Annual General Meeting.

4. ADOPTION OF THE AGENDA AND REVIEW OF MEETING RULES

The assembly will consider the agenda as prepared by the Council and Executive Committee.
Changes or additions to the agenda may be proposed at this time.
The Chairperson will provide a brief overview of Robert’s Rules of Order, a system of meeting rules and procedures that the Society uses for the AGM.

5. RECEIPT OF THE MINUTES

The minutes of the 2021 Annual General Meeting will be available for receipt and filing by Members. This basically means that we will be approving the meeting minutes of last year’s AGM and posting them on the website after.

6. SPECIAL RESOLUTIONS

Special Resolutions are motions that require a higher voting threshold than ordinary resolutions. These can take the form of changing the Bylaws, removing a director from their position, and/or updating the Constitution. We only have special resolutions this year to update our bylaws. Five will be voted on at this year’s AGM meeting:

7. RECEIPT OF COUNCIL ANNUAL REPORT

The Council Annual Report outlines the highlights of the SFSS for the 2021-22 fiscal year. It discusses what Council and its committees had been working on, and what the SFSS services looked like for the year.

8. RECEIPT OF REPORT FROM THE VICE PRESIDENT OF FINANCE AND SERVICES

SFSS VP Finance and Services will provide an overview of the Student Society’s finances from May 1st, 2021 through April 30th, 2022.

9. RECEIPT OF REPORT FROM THE AUDITOR

SFSS auditor, Tompkins Wozny LLP, will provide an overview of the Student Society’s audited financial statements.
